CL1
Closing (Consummation)
Trigger: All approvals received, closing date confirmed
- Sign closing documents (closing disclosure, tax verification, deed)
- Wire transfer / funding confirmed
- Record deed at county clerk
- Key handoff & celebration
- Submit HCAD ownership change form immediately
- Remind client: homestead exemption is FREE (don't pay third parties)
- Updated driver's license required for homestead filing
From Buffini LIVE: submit HCAD form same day. Homestead exemption saves clients thousands.
CL2
Owner Transfer & Post-Close Actions
Trigger: Deed recorded, ownership transferred
- Submit ownership form to Harris County Appraisal District
- File homestead exemption (free, needs updated ID)
- HOA transfer to buyer (if applicable)
- Utility transfer guidance provided to client
- Home warranty activation (if included)
- Closing celebration gift (orchid + fruit + balloons — ~$46)
Exception: investment properties do not qualify for homestead exemption
CL3
Bookkeeping & Commission Pathway
Trigger: Commission disbursed, deal financially closed
- Complete transaction column in TPJG Transaction Board
- Highlight light red (closed) + backlink with RM Transaction Link
- QBO Invoice: match with CDA (Commission Disbursement Authorization)
- Receivables: QBO → Bank Transactions → Income Account x6886 → Match
- Enter into Profit First (Line 9)
- Update Spending Plan: Add row, highlight by agent
- Bank: email transfer amounts (Expenses, Profit, Comp, Taxes, OpEx)
- Validate PF tab: compare Spending Plan with Transaction Board
- Update RM transaction: notes + status = Closed
- Update Buckets tab: pull data from all accounts
